Retention periods and digital management requirements for hotel MEP engineering archives

I am a hotel MEP engineering records management expert. As the core basis for operation and maintenance, the retention periods and digital management of hotel MEP engineering records are directly related to the effectiveness of full equipment lifecycle management. Especially when responding to equipment fault tracing, energy-saving retrofits and asset audits, a complete and quickly retrievable records system is key to reducing operational risk.

According to Article 4.2.3 of the Code for Archiving of Construction Project Documents (GB/T 50328-2014), the retention periods for MEP engineering records are divided into three categories: permanent, long-term (20 years) and short-term (10 years). Specifically for hotel MEP engineering:
- **Permanent retention**: Documents involving structural safety and major equipment foundations, such as foundation acceptance records, concealed works acceptance records and as-built drawings for main equipment including boiler rooms, transformer and distribution rooms, and central air-conditioning plant rooms. For example, a five-star hotel failed to permanently retain the as-built drawings of its boiler room, which led to a misjudgment of the load-bearing wall structure during pipeline renovation 10 years later and caused a partial collapse accident.
- **Long-term retention (20 years)**: Installation records, commissioning reports, certificates of conformity and maintenance records of main equipment (such as cooling towers, water pumps and elevators). In an actual case, a hotel retained elevator maintenance records for only 5 years, and when replacing the elevators it could not provide historical fault analysis data to the special inspection institute, resulting in a 3-month delay in approval.
- **Short-term retention (10 years)**: Routine inspection records, temporary repair orders, equipment operation logs, etc. Note, however, that if environmental protection or fire protection rectification is involved, the relevant records should be extended to 5 years after the equipment is scrapped.

Digital management shall follow Article 5.3 of the Specification for Electronic Records Archiving and Electronic Archives Management (GB/T 18894-2016) and establish a "dual-set" archiving system:
1. **Scanning resolution**: Paper documents shall be scanned in color at 300 dpi or above to ensure that equipment nameplates and parameter labels are clearly legible. For example, the nameplate of an air-conditioning compressor in a hotel was scanned blurrily, so the manufacturer could not identify the model, delaying repair.
2. **Metadata tagging**: Each electronic document shall be tagged with equipment number, installation location, maintenance unit, responsible person and change records. It is recommended to adopt BIM model association technology to bind the air-conditioning duct system drawings with the maintenance records of terminal equipment (such as fan coil units). In a project I participated in, this approach shortened troubleshooting time from 2 hours to 15 minutes.
3. **Storage and backup**: Adopt local server + cloud dual backup, and conduct regular data integrity verification. A hotel relied solely on cloud storage; after a ransomware attack, all MEP records were lost, completely interrupting the annual equipment maintenance plan.

Summary: Hotel MEP records should be strictly classified and retained in accordance with GB/T 50328-2014. Permanent documents must have both paper and electronic backups. Digital management should focus on metadata association and disaster-tolerant backup to support efficient operation and maintenance.
The above are reference opinions. The actual project conditions still need to be comprehensively evaluated and implemented in further combination with specific operating conditions, site conditions and other factors.
